IMAP Privacy Policy
Your privacy is important to IMAP and we are committed to protecting the privacy of your personal information.
This policy sets out the way we handle your personal information including the use and disclosure of your personal information, as well as your right to access the personal information we hold on you.

Our commitment
IMAP recognises that your privacy is very important to you, and your personal information including name, email, and phone number are important and need to be secure and carefully used for IMAP’s Main Purpose which is described below:
IMAP’s aim is to ensure that it complies with the Privacy Act 1988 (Cth) (Privacy Act), and the Spam Act 2003 (Cth) (Spam Act) both of which are aimed at preventing the sending of unsolicited electronic commercial messages and allowing you to unsubscribe from future messages from IMAP .
Below is a summary of our policy and how we aim to meet our obligations under the Privacy Act.
This Policy addresses how personal information you provide to the IMAP is collected, held, used, corrected, disclosed and transferred. You can obtain more information on request about the way we manage the personal information we hold.

How we collect your personal information
In the course of our activities, we may collect and hold your personal and/or business details because you have subscribed to receive communications from IMAP, registered to attend an in-person or on-line event, or use our education or training services or materials.
What information we collect
The types of personal information that we collect includes:
- your name and contact details including your first and last names, email address, phone number, and state of residence.
We generally collect this information as a result of:
- IMAP events you have registered for.
- information which you have provided to us in response to, or by participating in one of our surveys, promotions, competitions or events,
- Note Your credit card details may be recorded by the Stripe payment gateway that we use for processing payments for IMAP event registration where that applies, and this information is only used in order to confirm that we have received your payment or for refunds.

How we may use your information
To assist IMAP to achieve our main business goals, which are to assist managed account professionals in their profession and their managed account related businesses by providing you with:
· information, education, and representation to regulators on behalf of the managed account sector of financial services
The main way that we apply your personal information is to enable IMAP to :
- to send you important details about managed accounts that may be of interest to you (including managed account news including articles, webinars, podcasts, conferences & educational services);by electronic means (SMS, emails, text messages and calls) with details about managed accounts that may be of interest to you (including managed account news including articles, webinars, podcasts, conferences & educational services);
- to enable IMAP to fulfil arrangements with sponsors and providers, who themselves are bound by the above legislation.
We will only collect personal information from you by lawful and fair means with without being unreasonably intrusive, such as when you complete an IMAP subscription application or renewal, complete an event registration form (for in person or online services) or questionnaire etc.
Once we hold personal information, we will take all reasonable steps to keep it accurate, complete and up to date.
If you provide personal information to IMAP about someone else such as a staff member of your organisation, then you must ensure that you are entitled to disclose that information to us and that, without us taking any further steps required by privacy laws, we may collect, use and disclose such information for the purposes described in this Policy.
Use and disclosure of Personal Information
We will only use your personal information for the main purpose we told you it was needed for, with limited exceptions.
These exceptions are:
- where you consent to us using that personal information for another purpose,
- where it is permitted or required by law
- where the other purpose is related to the main purpose and you would reasonably expect us to use the personal information for that other purpose
- in order to fulfil the purposes set out above we may provide access to your personal information to third parties with whom we have a business relationship,
for example those who arrange, participate in and sponsor conferences, who deliver educational and other services, those who maintain and update our database, and those who assist with mail-outs or advertising, Our event sponsors may then contact you for business purposes, and you retain the right under privacy law to request them to stop doing so
You may tell us at any time by unsubscribing or emailing IMAP at support@imap.asn.au you do not wish to receive any further communications – if you do, we will stop contacting you and update our records accordingly.
In accordance with the Spam Act, should you wish to unsubscribe from electronic messages or phone calls from IMAP, this can be done at any time. If you do not unsubscribe, or email IMAP, then IMAP may continue to send you or contact you with relevant information of the types described above.
It is your responsibility to ensure that any personal data you provide to us is accurate.
Data Quality
IMAP will take reasonable steps to ensure that your personal information is accurate, complete and up to date.
You are encouraged to help us keep your personal information accurate, complete and up to date by contacting us and informing us of any changes to your details.

Access and Correction
Unless it is reasonable for us to rely on any relevant exception under the Australian Privacy Principles, we will give you access to your personal information on request as follows.
- If you fully identify yourself and ask, we will tell you what personal information we hold about you, and what we do with it.
- We will facilitate access to you by allowing an inspection of your personal information in person, or by providing copies or a summary of relevant documents, depending on what is most appropriate in the circumstances, following receipt of your request.
- If you can show us that the personal information is inaccurate, we will take all reasonable steps to correct it quickly.
Security
IMAP will take reasonable steps to protect your personal information from misuse, interference and loss as well as unauthorised access, modification or disclosure, and we take reasonable steps to protect your security when using our site, but you should be aware that no transmission of information to and from a website is ever totally secure.
Whilst we will strive to ensure the personal information transmitted to or from our website is secure and protected from unauthorised access, we cannot fully guarantee the security of your information, and transmission is at your own risk.
Third party websites
Our website contains a number of links to other websites, including the websites of our commercial partners or relevant regulators. By using these links, you acknowledge that it is your responsibility to check the privacy policy of those websites, and that IMAP is not liable for privacy practices of those other parties.
You will need to review those websites directly to ascertain their privacy policies and practices.
Overseas disclosure of personal information
We may from time-to-time transfer and hold personal information outside Australia in accordance with the Privacy Act to countries whose privacy laws do not provide the same level of protection as Australia’s privacy laws. For example, we may use cloud storage and IT services that are located offshore (e.g. Microsoft Office 365, Zoom for meetings).
By providing us with your personal information, you consent to us disclosing your information to entities located outside Australia in so far as we are permitted to do so by law, relevant regulation and the Australian Privacy Principles.
Sensitive Information
IMAP will not collect personal information revealing your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union clientship, or details of health, disability or sexual activity or orientation.
Complaints resolution
We aim to provide everyone, whose personal information we hold, with a fair and responsible system for the handling of their complaints relating to our collection, use and disclosure of personal information.
If at any time you have any complaints in relation to privacy, please contact our Privacy Officer at one of the points referred to below. We will seek to address any concerns that you have through our complaints handling processes, but if you wish to take matters further you may refer your concerns to the Office of the Australian Information Commissioner whose details can be found using the links below.

We regularly review our statements and policies to keep up to date with market expectations and legal developments.
We may change this Policy from time to time as the need arises.
